The following roles have been confirmed:
Minutes
The meeting took place 2026-04-02T15:13:00Z→2026-04-02T16:05:00Z This is the first community circle meeting for selecting who should hold the process roles.
Attendance
Due to the fact that the circle is just starting up, @exodrifter attended as interim facilitator and secretary.
In attendance:
Agenda
- Select a leader and delegate.
- If there is time, select a facilitator and a secretary.
Leader
First, it is agreed to hold meetings every two weeks instead of every week to give people time to process and think about things, along with the desire to give more than 48h notice when confirming a meeting time.
@exodrifter links the following two resources on process roles and how the sociocratic selection process works:
@exodrifter explains that the selection process will be a bit awkward because we don’t know each other terribly well yet. During the selection process we will select not only who should fill the role but also how long their term limit will be. In addition, everyone should write down their nomination so that their nomination is not swayed by other people’s nominations.
Round:
- @PGComai nominates @tomaterr for 4 months, because of vibes.
- @tomaterr nominates self for 6 weeks, because they have managed large groups in the past including in e-sports and volunteering organizations, and is interested in community management.
- @tomaterr asked if term limits are per role or for all roles.
- @exodrifter says it’s per role.
- @rohajin nominates @tomaterr for 2 months, because of vibes.
- @outfrost nominates @tomaterr, @PGComai, and @outfrost for 3 months, because these people have been the most proactive and outspoken.
- @prod nominates @tomaterr for 6 weeks, because they know @tomaterr well.
- During this, @prod suggested that it would be hard for @exodrifter to be part of all three circles, but it’s pointed out that @exodrifter cannot be elected because she is not part of the community circle and is only here on an interim basis.
- @maidmage nominates @tomaterr for 3-6 months, because it sounds like she has a vision for what direction to take the community circle in. Doesn’t think 6 weeks is enough time if meetings take place every two weeks.
- @ctrl_o nominates @maidmage and @PGComai for 2-3 months, because they have gamedev experience.
- @halfcourtyeet has no nomination.
Change round:
- @PGComai has no changes.
- @tomaterr adjusts term limit to 3 months.
- @rohajin adjusts term limit to 3 months.
- @outfrost adjusts term limit to 2-4 months, maybe 2-6.
- @prod adjusts term limit to 3 months.
- @maidmage has no changes.
- @ctrl_o nominates @tomaterr for 3 months.
- @halfcourtyeet has no nomination.
@exodrifter proposes @tomaterr is selected as leader for a term of 3 months:
- @PGComai consents.
- @rohajin consents.
- @outfrost consents.
- @prod consents.
- @maidmage consents.
- @ctrl_o consents.
- @halfcourtyeet consents.
- @halfcourtyeet thinks 3 months is a long time and asks for 6 weeks. It’s pointed out that we’ve decided on a meeting once every two weeks, and 6 weeks means that there will only be a few meetings before the term ends. She agrees after hearing this reasoning.
- @tomaterr consents and accepts the role.
Delegate
@exodrifter reminds everyone that delegate cannot be the same as leader.
@PGComai asks if the selection will be limited to whoever is in the admin circle. @exodrifter replies by saying it doesn’t have to be, but it can’t be herself because she is not part of the community circle.
@outfrost asks who is in both admin and community. It’s @tomaterr @ctrl_o, @rohajin, and @generalred. However, it’s noted that @generalred is not present and @tomaterr is already leader.
Round:
- @PGComai nominates @outfrost for 4 months, because of vibes.
- @tomaterr nominates @outfrost for 2 months, because she thinks @outfrost is strong enough to speak up against some of her worst impulses. Thinks a shorter term limit is fine since a delegate shift isn’t as problematic as a leadership shift.
- @rohajin nominates @ctrl_o for 2 months, no reason given.
- @outfrost nominates @generalred or @ctrl_o for 3 months.
- @prod nominates @ctrl_o for 2-4 months, for the same reason as @tomaterr but for a different person.
- @maidmage nominates @outfrost for 3 months, because @outfrost was interested in being leader.
- @ctrl_o nomates @prod for 3 months, because they feel like @prod fits the role well.
- @halfcourtyeet has no nomination.
@ctrl_o asks if the delegate would be a delegate to the tech circle. It’s explained that this delegate will report to admin.
Change round:
- @PGComai adjusts term limit to 3 months.
- @tomaterr nominates @ctrl_o for 2 months.
- @rohajin has no changes.
- @outfrost nominates @ctrl_o, @PGComai, and self, for 3 months.
- @prod has no changes.
- @maidmage has no changes.
- @ctrl_o has no changes.
- @halfcourtyeet has no changes.
@exodrifter proposes that @ctrl_o is selected as delegate for 3 months:
- @PGComai consents.
- @tomaterr consents.
- @rohajin consents.
- @outfrost consents.
- @prod consents.
- @maidmage consents.
- @halfcourtyeet consents.
- @ctrl_o consents and accepts the role.
Closing
Since there is no time left, the retrospective part of the meeting is skipped.
The next meeting is scheduled two weeks from now at the same time (2026-04-16T15:00:00Z). @exodrifter will play interim facilitator and secretary at the next meeting as well.
@tomaterr will create a new matrix chat without E2EE for the community circle, due to members being unable to read messages due to E2EE issues that have been unable to be fixed over the last week.
